Summary:
The Receptionist serves as the primary point of contact for students, parents, visitors, and staff. This individual will be responsible for creating a welcoming atmosphere and providing essential administrative support.
Responsibilities:
• Greet all visitors in a professional manner, offering assistance and directing them to the appropriate locations within the school.
• Manage all incoming communications, including phone calls, emails, and in-person inquiries, ensuring timely and accurate responses.
• Maintain an organized front desk area that reflects the professionalism and values of the school.
• Managing and organizing incoming and outgoing mail.
• Schedule meetings, and appointments for school staff, ensuring clear communication and accurate coordination.
• Perform a variety of administrative tasks such as filing, data entry, and preparing documents, ensuring accuracy and confidentiality.
• Assisting with general administrative tasks such as filing, data entry, and maintaining records.
• Provide information to students, parents, and visitors regarding school policies, programs, and events, with a clear understanding of the school’s educational environment.
• Coordinate with school departments and staff to ensure the smooth flow of day-to-day operations.
• Offer additional support to the principal and administrative team as needed, assisting with special projects and school events.
• Keeping track of visitors signing in and out of the school.
• Following safety and security procedures to ensure the well-being of students, staff, and visitors.
Qualifications:
• Fluency in English (spoken and written) is mandatory, German is a plus.
• Previous experience in a receptionist or administrative support role is preferred.
• Exceptional verbal and written communication skills, with an ability to handle sensitive situations and communicate with individuals of diverse backgrounds.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to manage multiple tasks at once while maintaining attention to detail and accuracy.
• Must be proactive, approachable, and able to handle challenging or high-pressure situations with professionalism and poise.
• Knowledge of school administration procedures and policies.
